In this role of Executive Assistant, you will support several Personal Work Solutions Leadership members based in Europe (London, UK and Lausanne, CH) by providing executive-level and administrative support. This includes scheduling and coordinating internal and external meetings, arranging travel and providing high level calendar management.
You will also support the PWS teams based in Europe with administrative tasks, invoicing and other office related duties. You will also support in arranging logistics for meetings & events (virtual, on/off site, in London, Lausanne and in Europe).
This role will report to the PWS Head of Events & Operations (based in Lausanne) and is a full time position based in London (min 3 days per week in office, possible occasional travel in Europe).

In this role you will:
Provide Executive & admin support to the PWS Leadership Team, including Marketing, Commercial and Business Leaders:
Provide Travel support (search and arrange flights, hotel bookings, transfers, visa)
Provide administrative support (expenses, follow ups, coordination)
Provide support to arrange and coordinate complex meetings and/or ad hoc events
Record, transcribe, and distribute minutes of meetings (using AI tools)
Help coordinate PWS events & activities:
Support the PWS Head of events & bus ops in global projects and events coordination as needed
Liaise with internal staff at all levels
Coordinate project-based work
Support the team in organizing meetings, workshops and events (virtual and on/off site)
Coordinate logistics, evening dinners and/or party, goodies, etc.
Interact with external suppliers
Manage invoicing and budget tracking
Receive and interact with external partners and incoming visitors
Provide administrative support and assistance to the PWS Teams:
Help the team with administrative tasks (filing, invoicing, suppliers management)
Maintain databases and distribution lists
Review operating practices and suggest improvements where necessary (integrating AI workflows)
Key Qualifications:
We are looking for someone with the below experience, skills and behaviors to join our team:
At least 5 years of experience in an international environment providing support at a very high level (C-level)
Successful experience in events management or in the hospitality industry
Proficient computer skills and in-depth knowledge of relevant software such as Google Suite
Basic knowledge of finance and accounting systems such as Oracle or OCRM
Proactive and able to take initiatives
Good judgment and decision-making ability, able to handle changes and pressure
Flexible and able to work with teams located in different time zones, including California (PST) and Asia
Strong organizational and planning skills, attention to detail, and focus on accuracy and quality
Fluent in English, written and spoken; French or any additional language is a plus
Excellent interpersonal and communication skills, capable of adapting communication style to the audience
Reliable and trustworthy with the ability to analyze problems and bring creative solutions
High level of autonomy and interest in enhancing AI based automatization in workflow and tasks
