The Role:
In this role of PWS Team Assistant, you will support the PWS teams based in Europe in their daily tasks and contribute to Personal Work Solutions activities.
You will help the team with critical administrative tasks, sample management and other office related duties. You will coordinate meetings and arrange logistics for events (virtual, on/off site, across Europe - possible occasional travel). You will assist with any administrative tasks & responsibilities (admin support, finance follow ups, P&C support, travel coordination, etc) for the PWS teams in Europe. You will play a key role as liaison between PWS global teams and Cork-based departments.
This role will report to the PWS Head of Events & Business Operations (based in Lausanne) and is a full time position based in Cork (min 3 days per week in office).

In this role you will:
Provide Team & administrative support to the PWS group:
Help the PWS teams with their daily administrative tasks
Manage global POs, supplier onboarding process, tracking of payments
Maintain databases and distribution lists
Provide team support for any tasks for the Europe-based teams (gifts, admin support, coordination)
Act as PWS liaison agent with Cork-based departments:
P&C coordination (liaising with on-site People & Culture teams for HR processes & matters)
Procurement coordination (liaising with on-site procurement teams for invoicing matters and travel procedures)
Operations coordination (liaising with on-site “Ops” teams for sample management, shipping or other related matters)
Coordinate events & activities:
Support the PWS Head of events & bus ops in global projects and events coordination
Liaise with internal staff at all levels and on multiple time zones
Help coordinate project-based work
Arrange regular meetings, workshops and events (virtual and on site in Cork, London & Lausanne and off-site events in Europe region).
Coordinate logistics for on/offsite events, team activities, etc
Manage event invoicing and basic budget tracking
Provide logistics & admin support for fairs & industry events taking place in Europe
Provide global support to the PWS Leadership Team:
Provide local assistance to PWS global Management when travelling to Cork offices (visa, travel arrangements, meeting room bookings, etc)
Provide admin support to the global PWS LT (expenses, support in travel coordination etc)
Support the PWS Head of events & bus ops in the implementation of work flows & processes for PWS globally
Key Qualifications:
We are looking for someone with the below experience, skills and behaviors to join our team:
At least 5 years of experience in an international environment providing team support in fast paced environments
Successful experience in events management or in the hospitality industry
Proficient computer skills and in-depth knowledge of relevant software such as Google Suite
Knowledge of standard office administrative practices and procedures.
Knowledge of finance and accounting systems such as Oracle Ipro
Fluent in English, written and spoken, any other language is a plus
Solution oriented and proactive
Very good communication skills, capable of adapting style to the audience
Strong organizational & planning skills, attention to detail
Flexible, able to handle changes and pressure
Able to analyse problems and bring creative solutions
Excellent interpersonal skills
Reliable, trustworthy
